Privacy policy
Short version: we collect what you tell us so we can quote and serve your property, we keep a record of the work, and we do not sell any of it or track you anywhere.
Who we are
Terrano Property Services Inc. is a snow, ice and grounds maintenance company operating in Calgary, Alberta. This policy covers the terrano.ca website and the service that follows from it.
We handle personal information under Canada's Personal Information Protection and Electronic Documents Act and Alberta's Personal Information Protection Act.
What we collect
Everything we hold about you, you gave us. There is nothing gathered in the background.
- Your name, phone number and email address, when you send a quote request
- The service address, and details about the property — driveway size, corner lot, back paths, gate access and similar
- The plan and add-ons you selected, and anything you typed into the notes field
- For commercial enquiries, the company or building name and approximate lot size
- Once you are a customer: service dates and times, payment records, and photographs of the areas we cleared
What we do not collect
This website has no advertising trackers, no third-party analytics, no advertising pixels and no cookies that identify you. We do not build a profile of you, we do not track you across other websites, and we have never sold or rented personal information to anyone.
We do not ask for payment card numbers through this website.
Why we have it
To measure your property and prepare a quote, to contact you about it, to deliver the service you signed up for, to bill you, and to keep a record of work performed.
That record matters in both directions. It is how we show a visit happened when a bylaw notice or an insurance claim is disputed, and it is how you check that we did what you paid for.
Who else sees it
As few parties as possible, and none of them for their own purposes.
- Vercel, which hosts this website and processes requests to it
- Resend, which delivers the quote request from the website to our inbox
- Google Workspace, which hosts our email
- Our bank or invoicing software, for payments only
- Our own crew, who need the address and access notes to do the work
Where it is stored
Our hosting and email delivery providers operate servers in the United States, which means your information may be stored or processed outside Canada and could, in principle, be accessible to authorities there under their laws. We name this because PIPEDA requires that we do, not because we expect it to happen.
How long we keep it
Quote requests that do not become customers are deleted within twelve months.
Service records and photographs are kept for twenty-four months after the season they relate to. Slip-and-fall and property damage claims often arrive long after the event, and this record is the evidence for both of us.
Financial records are kept for as long as Canadian tax law requires.
Photographs
We photograph the areas we clear, on every visit, and send them to you. These are photographs of the work — driveways, walks, steps, sidewalks, lots and entrances.
We do not photograph the inside of your home, and we do not use photographs of your property in advertising without asking you first and getting a yes.
Your rights
You can ask what we hold about you, ask for a copy, ask us to correct something wrong, or ask us to delete it. Email or call and we will respond within thirty days.
The only limit is where the law requires us to keep something, such as tax records, or where we need it to defend a claim that has already been made.
If you are not satisfied with how we handled a request, you can complain to the Office of the Privacy Commissioner of Canada or to the Office of the Information and Privacy Commissioner of Alberta.
Security
Access is limited to people who need it. Our systems are protected by strong, unique passwords and multi-factor authentication where it is available. No system is perfect, and we would rather say that than claim otherwise.
Changes
If this policy changes in a way that affects what we do with your information, we will update the date at the top and, for anything significant, tell existing customers directly.
